Responsibilities:

Provides confidential senior level administrative support services to the Regional Vice President

Maintains appointment schedules and coordinates meetings (in person or virtual)

Manages email inbox and completes/actions tasks on RVP’s behalf

Proactively monitors calendar

Providing support and acting as a resource on assignments

Provides status reports on projects and other matters, tracks issues; prepares meeting packages and agenda, action lists, and minutes (as required); organizes documentation

Support and management of technology adoption

Prepares correspondence, reports and presentations.

Co-ordinating travel arrangements and preparing expense reports

Provide sales, process, marketing, and administrative support to the RVP and the entire region

Supports business development and marketing activities and strategies as required

Helps the execution of region client events (both virtual and in person)

Facilitating and follow up on Private Wealth Planning Experience (PWPE) cases by pulling documentation and completing intake forms, ensuring appropriate reviews/calls are scheduled (engage necessary stakeholders when required) and track and follow-up to ensure case and outcomes are completed in a timely manner

Must develop a strong working knowledge of Salesforce and be competent in running reports related to advisor and region activity (i.e. BID reports, Client Acquisition, unbundled Progress, LPP Progress)

Supports and collaborates with all levels of regional leadership (RVP, DMs), employees (regional office, compliance, marketing, etc.) and advisors, in many cases across multiple locations.

Region Office support including:

Collaboration with Region Operations team to set up workspaces and equipment requirements and support facility management & workplace health & safety.

Provides back up to region office reception duties as needed

Coordinates and helps to organize special projects, region meetings, events & conferences.

Managing region budgets & finances.

Supports RVP in:

establishing a respectful workplace and promoting/creating a diverse and inclusive culture

Community support and involvement

Building a strong compliance culture

Ensuring adherence to corporate policies

Qualifications:

Business Administration Diploma or other Postsecondary degree in a relevant business discipline or equivalent experience, in addition to a minimum 5+ years administrative experience preferably in a sales or financial services industry

Effective communication skills, both verbal and written with excellent interpersonal skills to interact with individuals at all levels of the organization and clientele

Service oriented with strong relationship management skills

Ability to work independently and as part of a great team

Ability to handle confidential information in a tactful and professional manner

Exceptional technology skills and digital savvy; able to support a digital environment, utilizing technology for document management, team collaboration, etc. required

Proficient with MS Office (Microsoft Word, Outlook and Power Point, Teams) at the advanced level, specific to PowerPoint using info graphics; intermediate Excel

Flexible and able to perform in a fast paced, changing environment

Outstanding organizational, planning and prioritization skills, and ability to multi-task to manage/prioritize multiple projects simultaneously is required

The Analyst, Investments & Product Management Operations is part of multi-disciplined team that includes efforts around: industry research, ideation, writing business cases, documenting product specifications, supporting communications, coordinating updates to disclosure documents, and collaborating with cross-department groups on various projects as well as ongoing business functions.  This role will provide extensive opportunities to gain exposure to a broad range of initiatives and develop investment product knowledge as well as collaborate with individuals from a diverse group of functions across the company.
 
Analysis of industry trends and product development

Conduct Market Research: Gather and analyze data on industry trends, market conditions, and competitor products.
Identify Opportunities: Pinpoint potential areas for product development based on market needs and emerging trends.
Trend Analysis Reports: Prepare detailed reports summarizing industry trends and their implications for product development.
Stakeholder Meetings: Present findings to stakeholders and discuss potential product development strategies.

Support Development of Business Reviews and Potential Recommendations for Product Enhancements

Data Collection: Gather relevant data on product performance, customer feedback, and market conditions.
Business Review Preparation: Compile comprehensive business reviews, highlighting key insights and areas for improvement.
Recommendation Formulation: Develop actionable recommendations for product enhancements based on analysis

Collaborating with Cross-Department Groups in the Preparation of Product Specification Documents

Cross-Department Coordination: Facilitate collaboration between product, engineering, marketing, and sales teams.
Requirement Gathering: Collect and document product requirements from various departments.
Specification Document Drafting: Prepare detailed product specification documents, outlining features, functionalities, and technical requirements.
Review and Approval: Coordinate the review and approval process for product specification documents with all relevant stakeholders.

Problem Solving Support and Analysis for Various Initiatives

Issue Identification: Identify and analyze problems or challenges faced by various initiatives.
Root Cause Analysis: Conduct thorough analysis to determine the root causes of issues.
Solution Development: Develop and propose effective solutions to address identified problems.
Implementation Support: Assist in the implementation of solutions, ensuring they are executed effectively and efficiently.

Support the Preparation of Presentation Materials

Content Development: Create compelling content for presentations, including key messages, data visualizations, and supporting information.
Design and Layout: Design visually appealing and professional presentation slides.
Review and Feedback: Collaborate with stakeholders to review and refine presentation materials.
Final Preparation: Ensure all presentation materials are finalized and ready for delivery, including rehearsing and coordinating logistics.

Qualifications:

An university degree or specialized training related to business, finance, and investments.
A minimum of 1 – 4 years experience, solid knowledge of the investment industry, with strong knowledge and interest in market research and wealth and asset management
Completion of CSC or CFP preferred.
Interest in financial services, with preference to individuals with a post-secondary degree or diploma in a relevant business discipline. (e.g. Bachelor of Commerce)
Ability to work independently as well as in a collaborative environment.
Ability to self-motivate, manage time-sensitive deadlines and demonstrate flexibility in changing priorities.
Demonstrated proficiency in PC applications and Microsoft Office including Excel and PowerPoint.  This includes the ability to create and produce presentations and reports using the most up to date technology.
Demonstrated analytical, numerical and problem-solving skills with strong attention to detail, and a predisposition towards curiosity and an interest in learning.
Occasional travel to Winnipeg, Toronto, Montreal.
