Sr. Project Control Officer

“Senior PCO/Project Coordinator/Jnr PM JD
Position Description:
The Senior Project Control Officer (PCO) supports project managers, portfolio directors, VPs, Directors and Managers in delivering important infrastructure, solution or process improvement projects for the client. The member will also support the program managers with on-going support. The member will be involved in putting in place the methods, processes and tools for effective project portfolio management and organizational performance.
Your future duties and responsibilities:
Responsible for supporting a wide variety of business activities across CPS Business Operations. This position is also responsible for communications and administrative work as needed.
• Track and assist with completion of deliverable reviews, contract deadlines, supporting documentation for client review and acceptance
• Administer contract management framework for complex statements of work related to the program
• Coordinate and manage projects effectively and ensure they are delivered on time, on budget, and to agreed quality standards
• Coordinate creation or receipt of change requests and responses and track and report on Change Requests status
• Financial Analysis including resource plans, deliverable payments and billing corrections. Works closely with project managers and business unit finance team to manage overall program forecasts and budgets
• Manage project time reporting, timesheets and time verification including assist all program members with timesheet management
• Assist in managing the P&L of the account including forecasting growth opportunities
• Maintain relationships and be the team’s point of contact with Finance, program PMO and other CGI counterparts
• Coordinate associated delivery activities such as interim reviews with Client, final deliverable submissions and deliverable schedule management
• Identify and mitigate project delivery, schedule, and operational risks
• Prepare decks for Executives
• Administer and schedule meetings, workshops, travel and other team or executive events
• Meeting materials, minutes, action logs
• Participate in status meetings, report and communicate on status as appropriate
• Identify, analyze and escalate any issues, risks or changes as required
• Manage program-related record retention by regularly updating Sharepoint sites and ensuring accurate and up-to-date data is reflected and maintained
• Contribute and participate in improvement initiatives, including providing suggestions for improvement
• Assist in the onboarding of new members to the project
Required qualifications to be successful in this role:
• Business Administration or other applicable education.
• Min of 3 years of experience in PCO work on IT projects or other analysis roles in a consulting environment, with program (coordination for multiple related projects) experience
• Excellent Microsoft Excel for financial tracking and reporting
• Excellent PowerPoint skills to create executive monthly dashboards and weekly status reports
• Understanding various project controls, processes, guidelines, standards and ensuring teams are following them
• Practical, efficient and responsive; excellent communication and organization skills
• Able to juggle multiple priorities, anticipates issues and initiate appropriate action
• Professional and polite – resilient to stress and able to perform under pressure
• Flexibility to work independently as well as in a team
