DEPARTMENT OVERVIEW: Strategic Solutions & Operational Oversight teams directly service clients and advisors or support teams that do.  Our team collaborates with internal & external stakeholders to implement strategic solutions and deliver a great client experience. We are a strategic area within Client Services Operations (CSO) responsible for delivering and ensuring consistent and seamless service delivery, operational oversight to support proactively identifying and managing risk, as well as, support strategic initiatives, and drive the continuous improvement framework & methodology across CSO.
 
POSITION SUMMARY: The Manager, Operational Solutions is a key strategic role within Client Services Operations.  The team acts as the operational business lead who provides cross-functional knowledge and supports the development and implementation of forward-thinking strategies that enhance operational efficiency and client satisfaction.  The Manager will leverage their deep understanding of broad business knowledge, industry trends and regulatory requirements to guide the team in navigating complex challenges and emerging opportunities.   Collaboration is key to the success of this position. The Manager will build and nurture strategic partnerships across various functions within CSO and the broader organization. By promoting operational alignment and fostering a collaborative environment, the Manager will ensure seamless service delivery and effective implementation of strategic initiatives. This role requires exceptional communication and interpersonal skills to engage with stakeholders at all levels, from frontline teams to senior management, and to facilitate cross-functional teamwork.
 
DUTIES INCLUDE:

Act as the operational business lead providing subject matter expertise, cross-functional knowledge and innovative solutions on strategic initiatives and product launches.
Provide guidance and direction on operational services to teams and leadership within CSO and business partners across the organization. 
Analyze the impact of business and technical requirements on divisional and corporate initiatives and engage leaders on the impact to the various business units.  Understand the upstream and downstream impacts in the holistic client and advisor experience., 
Support new technology and automation initiatives with deep business knowledge. 
Participate as a divisional business expert representative across work streams as required.
Manage changes to business operations and participate in department/divisional/corporate projects and initiatives.
Continuously challenge the status quo and coordinate data measurement analysis and resulting initiatives.
Remaining abreast of regulatory requirements and changes and determining operational impact ensuring compliance to regulatory obligations while integrating risk management best practices. 
Communicate with leadership across CSO and the organization, share executive summary updates and hold regular meetings to provide status updates on project deliverables.
Building and maintaining strategic partnerships across CSO and the broader organization by understanding their needs, providing personalized support, and proactively addressing their challenges

 
QUALIFICATIONS

A bachelor’s degree or diploma in business administration, business analysis, or a related field of study
5+ years in a high growth operational and client-support environment, ideally in financial services, wealth management, or a similar environment.
In-depth understanding of products and services offered by IG Wealth Management and in the industry, along with operational processes/procedures.  Experience with securities and managed portfolios would be considered an asset.
Must be self-motivated, proactive and demonstrate solid decision-making skills.
Demonstrate exemplary interpersonal and influencing skills, with the ability to communicate effectively and collaborate across various mediums (in-person, phone, and virtually).
Advanced problem solving and organization skills.
Strong initiative and ability to think outside the box to develop innovative solutions.
Strong customer service orientation.
Solid understanding of the change process in a corporate environment.
Proficient in preparing executive updates and preparing presentations. 
Experience with project management would be considered an asset.
Successful completion of IFIC and CSC would also be considered an asset.

The Regional Vice President is looking for a Senior Administrative Assistant. This role is key in supporting the Regional Vice President in their work as an extension of the Distribution Leadership team to lead and provide strategic direction on all aspects related to the operations and management of the local IG Wealth Management Region Office. The Regional Vice President is responsible for long-term growth, productivity, and overall sales results of their region through the attraction, acquisition and retention of both clients and top Consultant talent. In addition, they are accountable to build an inclusive, diverse and strong compliance culture within their region
 
Job Duties
Drawing on previous experience in an administrative role, the Senior Administrative Assistant will be responsible for providing complete administrative support for the Regional Vice President while operating in a fast-paced, confidential, multi-tasking environment. You must be a self-motivated, highly organized individual with an ease for communication and a passion for client service.
 
Responsibilities

Provides confidential senior level administrative support services to the Regional Vice-President

Maintains appointment schedules and coordinates meetings (in person or virtual)

Manages email inbox and completes/actions tasks on RVP’s behalf

Proactively monitors calendar

Providing support and acting as a resource on assignments

Provides status reports on projects and other matters, tracks issues; prepares meeting packages and agenda, action lists, and minutes (as required); organizes documentation

Support and management of technology adoption

Prepares correspondence, reports and presentations.

Co-ordinating travel arrangements and preparing expense reports

Provide sales, process, marketing, and administrative support to the RVP and the entire region

Provides technology support related to BYOD; Help Desk escalations; general inquiries

Supports business development and marketing activities and strategies as required

Helps the execution of region client acquisition events (both virtual and in person)

Facilitating and follow up on PWPE cases by pulling documentation and completing intake forms, ensuring appropriate reviews/calls are scheduled (engage necessary stakeholders when required) and track and follow-up to ensure case and outcomes are completed in a timely manner

Must develop a strong working knowledge of Advisor Portal and be competent in running reports related to Consultant and region activity (ie. BID reports, Client Acquisition, Unbundled Progress, LPP Progress)

Supports and collaborates with all levels of regional leadership (RVP, DMs), employees (regional office, compliance, marketing, etc.) and Consultants, in many cases across multiple locations.   

Region Office support including:

Collaboration with Region Operations team to set up workspaces and equipment requirements and facility management

Provides back up to region office reception duties as needed

Coordinates and helps to organize special projects and region meetings and events

Managing region budget/finances

Supports RVP in:

establishing a respectful workplace and promoting/creating a diverse and inclusive culture

Community support and involvement

Building a strong compliance culture

Ensuring adherence to corporate policies

 
Qualifications

Business Administration Diploma or other Postsecondary degree in a relevant business discipline or equivalent experience, in addition to a minimum 5+ years administrative experience preferably in a sales or financial services industry

Effective communication skills, with excellent interpersonal skills to interact with individuals at all levels of the organization and clientele

Excellent writing skills in French

Service oriented with strong relationship management skills

Ability to work independently and as part of a great team

Ability to handle confidential information in a tactful and professional manner

Exceptional technology skills and digital savvy; able to support a digital environment, utilizing technology for document management, team collaboration, etc. required

Proficient with MS Office (Microsoft Word, Outlook and Power Point, Teams) at the advanced level, specific to PowerPoint using info graphics; intermediate Excel

Flexible and able to perform in a fast paced, changing environment

Outstanding organizational, planning and prioritization skills, and ability to multi-task to manage/prioritize multiple projects simultaneously required

Bilingualism (French-English) is an asset.
