Department summary: IG Wealth Connect is a strategic area within Financial Services Distribution. IG Wealth Management’s Corporate Channel is comprised of IG Wealth Connect and Corporate Channel advisors across the country, providing Entrepreneurial Consultants the ability to elevate their practices by focusing on in-depth financial planning and servicing the more complex needs of mass affluent and high-net-worth clients.
 
Position Summary: This position will be responsible for all aspects of Corporate Channel operations including providing direction and guidance to direct reports who have a focus on administration, workflow management and process optimization. The Senior Manager is responsible for the daily operations and is knowledgeable in the business unit’s functions so that resources are managed, coached and supported efficiently. The incumbent proactively manages divisional goals and long-term plans to align with the strategic objectives of the Corporation.
 
Duties include:

Manage day-to-day functions for supporting Advisors across the Corporate Channel

Oversight of those responsible for assisting Advisors with the direct order servicing activities for registered and non-registered accounts. Activities include updating account information, processing financial and non-financial requests, quality control, responding to service requests, follow up and adjustments.

Provide guidance and assistance to team to ensure that all daily work and objectives are completed within stated timelines

Develop, coach, motivate, mentor, support and manage performance for team through the change management process.

Identify opportunities for business and process improvements and implement changes as developed by management team.

Ensure procedural, regulatory, compliance and departmental policies are followed by department members.

Handle escalated and complex service issues from internal and external sources.

Provide guidance on system, process, servicing model dependencies and procedural design for the Corporate Channel strategy and assist AVP with executing strategies to achieve department objectives.

 
Qualifications:

Process orientated with the ability to multi-task in an extremely diverse fast-paced environment.

Operational mindset, solution orientated, an excellent problem solver with mastery in business planning, business drivers and numerical analysis.

Performance-driven diligent worker with strong experience leading servicing teams

Extensive mutual fund, mortgage and/or insurance industry background, including product knowledge, processing and compliance.

Post secondary degree or diploma in business or a relevant field. IFIC Mutual Fund or Canadian Securities Course or Insurance equivalent preferred.

Excellent communication skills (written, verbal and presentation). French is an asset.

Strong awareness of respectful workplace policies, ensuring an inclusive professional environment.

Minimum of 7 years experience in the financial services industry and 5 years in a leadership role

Practical experience with a CRM and the Office Suite.

As this position is posted in Montréal, Toronto and Winnipeg, we specify that bilingualism (French, English, both oral and written) is required for Quebec only for the frequent interactions with English.

The Regional Vice President is looking for a Senior Administrative Assistant. This role is key in supporting the Regional Vice President in their work as an extension of the Distribution Leadership team to lead and provide strategic direction on all aspects related to the operations and management of the local IG Wealth Management Region Office. The Regional Vice President is responsible for long-term growth, productivity, and overall sales results of their region through the attraction, acquisition and retention of both clients and top Consultant talent. In addition, they are accountable to build an inclusive, diverse and strong compliance culture within their region
 
Job Duties
Drawing on previous experience in an administrative role, the Senior Administrative Assistant will be responsible for providing complete administrative support for the Regional Vice President while operating in a fast-paced, confidential, multi-tasking environment. You must be a self-motivated, highly organized individual with an ease for communication and a passion for client service.
 
Responsibilities

Provides confidential senior level administrative support services to the Regional Vice-President

Maintains appointment schedules and coordinates meetings (in person or virtual)

Manages email inbox and completes/actions tasks on RVP’s behalf

Proactively monitors calendar

Providing support and acting as a resource on assignments

Provides status reports on projects and other matters, tracks issues; prepares meeting packages and agenda, action lists, and minutes (as required); organizes documentation

Support and management of technology adoption

Prepares correspondence, reports and presentations.

Co-ordinating travel arrangements and preparing expense reports

Provide sales, process, marketing, and administrative support to the RVP and the entire region

Provides technology support related to BYOD; Help Desk escalations; general inquiries

Supports business development and marketing activities and strategies as required

Helps the execution of region client acquisition events (both virtual and in person)

Facilitating and follow up on PWPE cases by pulling documentation and completing intake forms, ensuring appropriate reviews/calls are scheduled (engage necessary stakeholders when required) and track and follow-up to ensure case and outcomes are completed in a timely manner

Must develop a strong working knowledge of Advisor Portal and be competent in running reports related to Consultant and region activity (ie. BID reports, Client Acquisition, Unbundled Progress, LPP Progress)

Supports and collaborates with all levels of regional leadership (RVP, DMs), employees (regional office, compliance, marketing, etc.) and Consultants, in many cases across multiple locations.   

Region Office support including:

Collaboration with Region Operations team to set up workspaces and equipment requirements and facility management

Coordinates and helps to organize special projects and region meetings and events

Managing region budget/finances

Supports RVP in:

establishing a respectful workplace and promoting/creating a diverse and inclusive culture

Community support and involvement

Building a strong compliance culture

Ensuring adherence to corporate policies

 
Qualifications

Business Administration Diploma or other Postsecondary degree in a relevant business discipline or equivalent experience, in addition to a minimum 5+ years administrative experience preferably in a sales or financial services industry

Effective communication skills, with excellent interpersonal skills to interact with individuals at all levels of the organization and clientele

Excellent writing skills in French

Service oriented with strong relationship management skills

Ability to work independently and as part of a great team

Ability to handle confidential information in a tactful and professional manner

Exceptional technology skills and digital savvy; able to support a digital environment, utilizing technology for document management, team collaboration, etc. required

Proficient with MS Office (Microsoft Word, Outlook and Power Point, Teams) at the advanced level, specific to PowerPoint using info graphics; intermediate Excel

Flexible and able to perform in a fast paced, changing environment

Outstanding organizational, planning and prioritization skills, and ability to multi-task to manage/prioritize multiple projects simultaneously required

Bilingualism (French-English) is an asset.
