CGI has a unique opportunity for a Corporate Meetings and Events Leader interested in combining his/her strong organizational and people skills with the ability to coordinate a wide range of activities in support of high-visibility corporate meetings throughout the year. The Event Professional joins a small collaborative team as part of the company’s global strategic planning team which supports CGI’s leaders with shaping the strategy of one of the world’s largest end-to-end IT and business consulting services firms. As leader of the team, the Event Professional will be tasked to manage the end-to-end delivery and execution of the event portfolio.

The successful Manager, Corporate Meetings and Events will have the opportunity to showcase his/her organizational skill and relationship building ability by working closely with members of the global strategic planning team, colleagues from across the globe in the end-to-end delivery of mandated Executive sponsored internal events on a global scale.

Your future duties and responsibilities:

Your responsibilities will range across all areas of event/meeting, planning, management, and support, including:
•Leading the team responsible for the events portfolio and managing end-to-end the events portfolio
•Management of all event logistics and details such as site selection, room block management, audio-visual logistics for both in-person and virtual formats, tradeshow/sponsorship management and F&B management
•Developing event strategy and the supporting event goals, objectives, and measurement tactics.
•Participating actively in planning and development of bespoke internal events, including establishing and managing budgets, proposing strategies for cost efficient events,
•Overseeing the holistic approach of each event, consultatively guiding in decisions on all logistical aspects for all internal clients and owned programs
•Overseeing communications and guiding on content for all events and gathering information from all relevant stakeholders to the project
•Ensuring up to date management and tracking of deliverables with management and other teams
•Ownership of relationships with vendors, venues, suppliers and both internal and external stakeholders to ensure optimal delivery of events
•Participating in the selection and onboarding process for vendors, including setting up vendors within the procurement system and tracking all payments to ensure proper close-outs
•Coordinating the set-up and tracking of meeting registration using an event management tool
•Maintaining an accurate master lists and events calendar, including maintaining the master corporate meeting calendar, including statutory holidays across our global operations
•Managing the logistics of executing an event, on-site meeting registration set-up and badging, breakout group and table seating assignments, signage, décor, transportation coordination, printing, and acting as the point of contact for ad hoc team meeting requests and chargebacks.
•Maintaining the mobile apps for all assigned meetings/events, including uploading agendas, attendee lists and profiles, surveys, and any files to share.
•Maintain planner notes of all meetings and events
•Helping prepare and distribute meeting agendas or other content, as needed.
•Handling first-level questions from meeting participants and directing them accordingly
•Updating budget files for the event managers or owners to ensure accurate visibility into costs
•Working with the team and assistants to schedule reviews and dry runs associated with meetings
•Maintaining the event tool database and the team’s electronic file systems associated with corporate meetings.
•Providing a wide range of on-site logistics support as required
•Measuring and evaluating event success and lessons learned

Required qualifications to be successful in this role:

•Bachelor’s degree in a related field – such as marketing or communications – preferred
CMP distinction is a plus
•10 years of dedicated experience in the planning or coordination of meetings and/or events, of which 5 years in a management role within the team
•Knowledge of event logistics elements, including food & beverage, event management tools, and AV
•Strong interpersonal and people management skills
•Strong Project Management skills
•Intermediate to advanced Microsoft Office skills, particularly PowerPoint and Excel
•Excellent organizational skills with precise, conscientious attention to detail
•Strong collaboration skills and ability to build positive relationships with a range of internal and external stakeholders
•Ability to work on a variety of projects across internal clients
•Fluency in French and English, both written and spoken. Note that most business is conducted in English given the global nature of the role.
•Ability to work flexible hours in line with business needs and critical deadlines
