Salary Range: $63,937.42 – $79,921.77 per annum+ 8% vacation pay. POSITION SUMMARY
Employees of the Legislative Assembly of British Columbia (Assembly) provide professional non-partisan services to support the democratic institution of Parliament and its members through procedural advice, administrative support and information services. The Assembly is an autonomous employer, separate from the administrative framework of B.C. government ministries and agencies.
The Sergeant-at-Arms department is seeking a organized, proactive, and discerning individual for the auxiliary full-time position of Administrative Coordinator.
Reporting to the Sergeant-at-Arms, the Administrative Coordinator provides administrative, planning, and logistical support to the Sergeant-at-Arms and Sergeant-at-Arms Leadership team and must organize and carry out required duties to ensure that all matters are handled with efficiency and in an effective manner. The position acts as the primary contact for the Sergeant-at-Arms on a range of issues and serves as an important link between the Sergeant-at-Arms and various departments and groups within the Legislative Assembly, as well as liaison with external partners. The position oversees critical Chamber support services including coordinating Chamber seating plans, liaison with Sessional supervisors, House document distribution, and reservations systems for Question Period tickets and committee room bookings. It plays an integral role in the department’s budget processes, and in the management and oversight of non-Legislative events such as conferences and Youth Parliaments.
QUALIFICATIONS
Applicants must be/have:
- Post-secondary education in public administration, business administration, office management or a related program, plus at least 3 years of experience in a senior administrative role, or an equivalent combination of education and experience.
- Experience in providing effective administrative support such as:
- Coordinating briefing materials, reports and correspondence in a fast-paced work environment.
- Coordinating and maintaining an executive calendar and supporting information needs to support and facilitate effective meetings.
- Working in an office environment with multiple and often changing priorities and handling communications on complex, sensitive, and urgent matters.
- Providing logistical support to protocol, diplomatic, and interparliamentary functions.
- Experience working with various computer applications, such as Microsoft Office 365, Adobe Creative Suite, Teams, Zoom, etc.
Preference may be given to candidates with the following:
- Experience with an ERP system, such as Workday, is considered an asset.
- Experience working in a parliamentary or public sector environment is considered an asset.
