We are seeking a Communications Specialist to join our team in VICTORIA, British Columbia, Canada

In this role, you will be responsible for supporting, planning, and executing timely and effective communication strategies that align with both project-specific goals and broader business objectives.

You will work closely with internal corporate partners and client groups to build and strengthen collaborative relationships, ensuring that communication efforts are aligned and impactful. Your ability to coordinate with communications partners and creative teams will be essential in producing high-quality content across a variety of channels, both internal and external.

A key focus of this role is driving engagement with internal stakeholders. You will plan, develop, and measure compelling campaigns and stories that connect employees to our community, culture, values, and strategic priorities. Your work will help foster a sense of belonging and purpose across the organization.

Hybrid Work Model

This position is located in our Victoria, BC office. You will have the opportunity to work part of the time on-campus and part of the time off-campus. Guidelines and requirements for in-office presence are determined by operational need and vary according to the unique needs of each business area.  

Responsibilities

Maintains and enhances a cooperative and collaborative working relationship with clients including branches, work units and committees; works with colleagues and clients to determine opportunities to collaborate with on messaging and timing of communications/ engagements.

  • Proactively plans, organizes, and prioritizes existing and upcoming communications needs for assigned portfolios; coordinates and leads the development and implementation of corporate communications related to priorities, programs, and services.
  • Develops and executes communication plans and products for internal clients; facilitates formal and informal consultation processes to assist the corporation in internal communication of corporate and service priorities.
  • Plans, drafts, and edits internal communications content (content calendar, articles, newsletters, management huddle notes, video scripts, speaking notes, presentations, executive correspondence, townhalls, company website, intranet, social media, events, and leadership messaging)
  • Researches, prepares, organizes, edits, and implements a wide variety of communications products and tools and maintains written materials for print and digital publication to support corporate strategy, ensuring consistency and accuracy of messaging and appropriate reflection of corporate brand and standards.
  • Plans and executes internal engagement campaigns for initiatives and events.
  • Demonstrates ability to effectively negotiate expectations with executive and senior staff on recommendations and deliverables while accurately assessing, prioritizing, and managing multiple project demands with changing timelines.
  • Functions with a high degree of autonomy and requires good judgment in advising senior management; recommends communication strategies to senior management to increase awareness of new and emerging programs, policies and services for appropriate audiences and provides communications advice, planning, coordination, execution, and measurement.
  • Develops and conducts presentations on communications strategies for programs and services and identifies common interests and opportunities for collaboration and partnership.
  • Assists in senior leadership communications and messaging, prepares briefing notes, fact sheets and other reports on emerging issues, drafts responses and prepares background materials relating to communications plans or initiatives.
  • Supports elaboration and maintenance of corporate brand artifacts and brand standards.
  • Ensures responsiveness to current and emerging business needs, increasing the quality of communications and the flow of information throughout the corporation.
  • Leads change management activities, including audience identification, stakeholder assessment, change planning and product development.
  • Facilitates the development of partnerships, information sharing and formal agreements with other government and non-government organizations.
  • Participates in the development and/or coordination of analytical studies and projects carried out by service providers.

Qualifications

Must have

A post-secondary diploma or coursework in a communications-related field (communications, public relations, English, journalism, business, professional writing, etc.)

Minimum 3 years’ demonstrated experience in a combination of the following:

  • Planning and executing corporate internal and/or external communications plans in a large organization generating engagement.
  • Working with clients or project teams to assess communications requirements and measuring the effectiveness of communications plans, channels, and deliverables.
  • Coordinating, researching, writing, and editing a variety of communications materials for a variety of audiences in a professional environment.
  • Managing projects using project management methodologies, responding to changing priorities and meeting demanding deadlines.
  • Planning and executing large and small scale corporate and executive events and/ or initiatives.
  • Using Microsoft Office and Adobe Suite of products.
  • An equivalent combination of education, training and relevant experience may be considered.

Nice to have:

  • Experience in HTML, WordPress, or CMS
  • Experience producing content across print, web, digital channels.

Knowledge, Skills and Abilities

  • Knowledge of general communications principles, concepts and methodologies including issues management, media relations and media production.
  • Strong leadership and communication (written and verbal) skills.
  • Ability to coordinate formal and informal consultation processes.
  • Ability to work with a high degree of autonomy.
  • Ability to advise senior management, exercising good judgment, problem solving and decision-making skills.
  • Proficient in MS Word, PowerPoint, social media tools (blogs, Facebook, Twitter, etc.), graphic editors/content management systems, layout and design programs and Photoshop.
