The Team
The Assistant Deputy Minister Office (ADMO) team is a vibrant and passionate group of six individuals who thrive on collaboration and mutual support. As an established team, they work closely with a larger support division of around 60 staff, providing vital administrative and financial services. The team’s work has a direct impact on strategic partners and serves as the clerical point of contact for the ADM and Executive Directors, ensuring the smooth operation of day-to-day priorities. The Role
This role is an exciting opportunity for candidates to directly support the ADMO and contribute to programs that have a meaningful impact on K-12 learners across British Columbia. Reporting directly to the ADMO, you will play a key role in supporting various program areas, helping to coordinate and manage day-to-day priorities. This position offers the chance to build your own portfolio and skill set in a dynamic, fast-paced environment while working alongside a passionate leadership team dedicated to advancing impactful student programs. Qualifications:
Education and Experience Requirements

  • Secondary school graduation or equivalent.
  • Minimum 6 months of experience working in an executive office setting, supporting Manager(s) or above.
  • Experience providing financial support such as monitoring expenditures, coding and processing business expense forms and invoices, reconciling purchase card expenditures, administering petty cash account, checking accuracy and completeness of financial documentation.
  • Experience formatting, proofreading and editing a variety of documents and materials using desktop tools such as Word, Excel, OneNote and Outlook.
  • Experience scheduling meetings, managing multiple calendars and preparing agendas for Manager(s) or above. 
  • Experience managing deadlines and prioritizing multiple concurrent tasks.

Preference may be given to applicants with:

  • Experience using ARCS/ORCS records classification system.
  • Experience using government tracking systems (e.g. CLIFF, e-approvals).

About this Position:
Two (2) positions available:

  • One (1) full time, permanent position
  • One (1) full time, temporary opportunity until March 31, 2025. A permanent appointment may result from this temporary appointment.

An eligibility list may be established to fill future temporary and permanent vacancies.
Flexible work options are available; this position may be able to work up to two (2) days at home per week subject to an approved telework agreement.
A Criminal Record Check (CRC) will be required.
