The Role
As the Executive Administrative Assistant (EAA), you will be the organizational backbone of the Assistant Deputy Minister/Executive Financial Officer (ADM/EFO) office. Working under limited supervision, you’ll manage the daily operations of the ADM’s office, ensuring seamless administrative support. This role goes beyond standard administrative duties; you’ll be the face of the ADM’s office, handling highly sensitive and confidential inquiries with professionalism and discretion, often acting as a liaison to ensure timely responses on the ADM’s behalf.

Qualifications:
Education and Experience

  • Certificate or post-secondary coursework in office administration or business administration and one (1) year related experience; OR
  • Secondary School graduation (Dogwood, GED) and two (2) years related experience; OR
  • Evergreen and three (3) years related experience; OR
  • An equivalent combination of education and experience may be considered.

Related experience includes the following:

  • Office experience working in a confidential capacity.
  • Experience providing administrative support services including calendar management; completing complex travel arrangements; coordinating, tracking, monitoring and responding to issues, initiatives and projects.
     

Preference may be given to applicants with the following:

  • Experience working with senior executives (i.e. Vice President, Executive Director, Senior Counsel, Partner or equivalent).
  • Experience with electronic file tracking system (e.g. CLIFF and eApproval systems or equivalent).
  • Experience with records management system (ie: ARCS/ORCS) and Local Area Network (LAN) management or equivalent.
  • Higher years of experience in any of the requirements.

About this Position:
Flexible work options are available; this position may be able to work from home some days each week, subject to an approved telework agreement.
