The Regional Vice President is looking for a Senior Administrative Assistant. This role is key in supporting the Regional Vice President in their work as an extension of the Distribution Leadership team to lead and provide strategic direction on all aspects related to the operations and management of the local IG Wealth Management Region Office. The Regional Vice President is responsible for long-term growth, productivity, and overall sales results of their region through the attraction, acquisition and retention of both clients and top Consultant talent. Job Duties
Drawing on previous experience in an administrative role, the Senior Administrative Assistant will be responsible for providing complete administrative support for the Regional Vice President while operating in a fast-paced, confidential, multi-tasking environment. You must be a self-motivated, highly organized individual with an ease for communication and a passion for client service.
 
Responsibilities

Provides confidential senior level administrative support services to the Regional Vice-President

Maintains appointment schedules and coordinates meetings (in person or virtual)

Manages email inbox and completes/actions tasks on RVP’s behalf

Proactively monitors calendar

Providing support and acting as a resource on assignments

Provides status reports on projects and other matters, tracks issues; prepares meeting packages and agenda, action lists, and minutes (as required); organizes documentation

Support and management of technology adoption

Prepares correspondence, reports and presentations.

Co-ordinating travel arrangements and preparing expense reports

Provide sales, process, marketing, and administrative support to the RVP and the entire region

Provides technology support related to BYOD; Help Desk escalations; general inquiries

Supports business development and marketing activities and strategies as required

Helps the execution of region client acquisition events (both virtual and in person)

Facilitating and follow up on PWPE cases by pulling documentation and completing intake forms, ensuring appropriate reviews/calls are scheduled (engage necessary stakeholders when required) and track and follow-up to ensure case and outcomes are completed in a timely manner

Must develop a strong working knowledge of Advisor Portal and be competent in running reports related to Consultant and region activity (ie. BID reports, Client Acquisition, Unbundled Progress, LPP Progress)

Supports and collaborates with all levels of regional leadership (RVP, DMs), employees (regional office, compliance, marketing, etc.) and Consultants, in many cases across multiple locations.   

Region Office support including:

Collaboration with Region Operations team to set up workspaces and equipment requirements and facility management

Coordinates and helps to organize special projects and region meetings and events

Managing region budget/finances

Supports RVP in:

establishing a respectful workplace and promoting/creating a diverse and inclusive culture

Community support and involvement

Building a strong compliance culture

Ensuring adherence to corporate policies

 
Qualifications

Business Administration Diploma or other Postsecondary degree in a relevant business discipline or equivalent experience, in addition to a minimum 5+ years administrative experience preferably in a sales or financial services industry

Effective communication skills, with excellent interpersonal skills to interact with individuals at all levels of the organization and clientele

Excellent writing skills in French

Service oriented with strong relationship management skills

Ability to work independently and as part of a great team

Ability to handle confidential information in a tactful and professional manner

Exceptional technology skills and digital savvy; able to support a digital environment, utilizing technology for document management, team collaboration, etc. required

Proficient with MS Office (Microsoft Word, Outlook and Power Point, Teams) at the advanced level, specific to PowerPoint using info graphics; intermediate Excel

Flexible and able to perform in a fast paced, changing environment

Outstanding organizational, planning and prioritization skills, and ability to multi-task to manage/prioritize multiple projects simultaneously required

Bilingualism (French-English) is an asset.

We are currently looking for a Manager, Compliance, to join our Compliance department located across Canada. The mandate of the Compliance Department is to ensure compliance with relevant regulatory requirements affecting investment dealers, including rules, policies and by-laws of the self-regulatory organization of the Canadian Investment Regulatory Organization (CIRO), provincial securities commissions, insurance commissions/councils and other regulators. The Department works closely with Distribution Leadership and other management to develop appropriate corporate policies, identifies and promotes good business practices, executes business review programs to monitor sales practices, manages client complaint resolution processes and conducts branch examination programs. 
 

The Manager, Compliance, is registered to supervise the activities of IG Wealth Management registrants. 

 

Responsibilities include:

Conducting Tier 1 supervision activities including conducting reviews of daily and monthly trading, account opening and KYC updates, outside activities, social media supervision, and service-related complaint resolution on either the investment dealer or mutual fund dealer platform, and or both.

Supporting IG Wealth Management registrants in resolving compliance issues with regulatory guideline interpretation and with inquiries relating to acceptance of unique or exceptional situations.

Managing regulatory obligations and commitments, such as the 90-day training program, 6-month supervision, periodic on-site sub-branch visits, continuing education, as well as close supervision.

Identifying training requirements, implementing and coordinating the delivery of training programs.

Participating in internal compliance reviews or external regulator audits conducted in Head Office or Branch/Sub-Branch office locations.
 

Qualifications:

7+ years of experience in a compliance-related environment.

Post-secondary degree or diploma in a relevant business discipline.

Must qualify to be immediately registered with CIRO as a supervisor for investments, mutual funds or both.

If currently qualified as a supervisor for mutual funds only, the candidate must commit to completing the following courses within 1 year from hire, including the Canadian Securities Course (CSC), Conduct and Practices (CPH), and Investment Dealer Supervisor Course.

Will have to meet other continuing education requirements as required by the regulators.

In-depth knowledge of the financial services industry, including understanding of regulatory requirements of CIRO, insurance commissions/councils and other regulators.

Strong oral, written and communication skills must be able to communicate clearly and effectively with various levels of staff, including senior management, along with being an effective listener.

Must have a positive and collaborative approach to teamwork.

Proven analytical and problem-solving skills. Well-developed organizational skills with the ability to prioritize, perform multiple tasks, deal with interruptions and meet deadlines.

Proficiency in Microsoft Word and Excel.

The ability to communicate verbally and written in French & English (opened to candidates outside of Quebec). For candidates within Quebec, proficiency in the French language (speaking, reading and writing) is mandatory

Knowledge of French and English is required to support clients and Team members within and/ or outside the province of Quebec.
